Practical Information for Members
Computing Account and Access to CERN Resources
As a Committee Member, you need a CERN computing account (username) to access the documents, agendas and other material related to the work of your committee.
Your username is linked to your preferred e-mail address and does not need to be a cern.ch. You can view and update your account information via the Account Management Portal. If you wish to modify this data, please send an e-mail to service-desk@cern.ch. Don’t forget to inform the Secretariat as well.
To keep your computing account valid, you need to:
- Follow the Mandatory Computing Security Course within the first month after creation.
The course is valid for 36 months - Install the two-factor authentication (2FA), following the instructions here:

Depending on the resources you want to access, you may need to set a different profile, as follows:

| CDS, SharePoint, etc | By default, access is granted to you via the CERN account (username) that you declare to the Secretariat |
| Indico | Please note that some people have several accounts declared in Indico, namely the old lightweight accounts, and that might create confusion. Consult your CERN Indico profile here: https://indico.cern.ch/user/accounts/ and make sure your preferred account to login corresponds to the username you declared to the Secretariat. |
| Burotel | To use this feature, you will be asked to create a profile. When prompted, the easiest would be to merge the general Indico account with this one, so that you can use the same username and password when booking a desk. |
The access rights are managed by the Secretariat team: don’t hesitate to contact us for assistance.
Access to the site and access card
When you arrive to CERN for the first time:
- outside working hours you can access the site with the Hostel Booking confirmation via Entrance gate B and collect the access card during opening hours.
- during opening hours You may collect your access card at the CERN Community Support Center at building 33 , open from 7.00 a.m. to 6.30 p.m. on working days.
To renew your access card, you can visit the CERN Community Support Center either at building 33 , or building 62 (renewals only)
Hostel bookings
A few weeks before each meeting, we launch a questionnaire for you to inform us about your attendance.
You can find the questionnaires in Indico: indico.cern.ch/category/15826/.
A number of rooms is reserved for the committee members for each meeting. If you wish to book a room, please indicate your date or arrival and departure in the above mentioned questionnaire. The Hostel will send you a confirmation. The standard option is a single room with bathroom; other room types are available on request.
In case you wish to book the room in advance and/or for additional days around the meeting, you can do so by e-mailing the CERN Hostel at cern.hostel@cern.ch. Please make sure that your email mentions the committee you are member of.
Available desks
Two desks are available in building 3 for committee members who need a quiet place to work between meetings. They can be booked via the application ‘Burotel’ and you need to create a profile to use it (see under ‘CERN Account and Access to CERN Resources)
